Front Of House / MOA / Office Administrator
We are looking for a unicorn! Reporting to the Chief Operations Officer and working collaboratively with the Chief Medical Officers, the Philosophy Front Of House/Medical Office Assistant (MOA)/Office Administrator is responsible for setting and upholding the service standards and expectations of Philosophy MD’s customer service and care model. The pace can be fast and dynamic yet the service must always be meticulous, thoughtful, and consistent. The right applicant is highly reliable, unflappable, experienced, organized, and enthusiastic when managing the front of house, incoming inquiries (by web, phone, and in-person), when governing clinic schedules, and as they provide consistent and dependable support to the Philosophy care and executive teams.
This dynamic role manages all routine, complex, and specialized clinic bookings, processes private and MSP billings, and monitors the patient waitlist. In addition, they maintain the executives’ calendars and coordinate their travel arrangements.
Additionally, daily administrative tasks involve opening and closing duties, mail collection and delivery, and preparing reports and spreadsheets. Primarily supporting the clinical care and patient coordinator teams, this role will also assist with e-commerce fulfilment, and inventory management of retail products and medical supplies.
The MOA also studies and participates in all product knowledge training sessions and workshops to thoroughly educate and empower prospects and patients through their interactions with Philosophy MD.
|$25-30 per hour, depending on qualifications and experience
Education and Experience Requirements
- Diploma, Certification and/or 3+ years of equivalent experience supporting a clinical practice or spa
- Proven customer service, organizational, and problem solving skills
- Demonstrated proficiency working with computers – within EMR softwares (Zenoti), cloud storage programs (like Dropbox and Google Drive), Apple desktop publishing and/or Microsoft Word and Excel
- Past cosmetic, medical, or hospitality experience preferred

Skin Therapist / Laser Technician
Reporting to the Chief Operations Officer (COO), the Philosophy Skin Therapist is responsible for providing unmatched, individualized care through cosmetic consultations, personalized treatment planning, safe, effective and luxurious treatment experiences, and thorough and thoughtful follow-up and ongoing care for patients of Philosophy MD Ltd. (“Philosophy”). In addition, the Skin Therapist will assist with patient flow at the office, retail sales, and bedside auxiliary care for our injectable treatments.
The Skin Therapist may be relied upon to help create compelling educational resources for use in our website and marketing programs, and may be responsible for assisting with the management of inventory and orders of our retail products and medical supplies.
The Skin Therapist is expected to have a rich understanding of the skin, and aesthetic treatments including (but not limited to):
- facials
- chemical peels
- microneedling
- IPL photorejuvenation
- energy-based skin tightening systems
- lasers
The Skin Therapist will confidently demonstrate their experience with effective and safe protocols for common skin conditions, and lead the onboarding of new technologies, committing to subject matter expertise to support team learning and successful program development. In this capacity, the Skin Therapist will also manage maintaining medical devices according to manufacturer and clinic schedules.
In this role, the Skin Therapist is also responsible to develop and maintain strong relationships within Philosophy MD’s care teams, and with our suppliers.
| $30 to $35 per hour, depending on qualifications and experience
Education and Experience Requirements
- Certification in energy and/or laser devices
- A minimum of 3 years’ experience as an aesthetician or in the medical aesthetics industry
- Proven proficiency in medical aesthetics (facials, peels, energy and laser systems)
